Important Information

'Zoom' speaker briefings

We are looking forward to running through the high-level content and flow for your session block for the ANZTCT ASM (along with your fellow speakers and chairs), and answering any questions you may have, via Zoom! You should have received a link to a doodle poll and/or a direct email regarding your briefing. If you cannot make your scheduled briefing, please let us know and we can find another time to discuss any questions you may have.

If you would like to use slides, videos, or any other AV when you speak at the Meeting, please send us the files by COB Wednesday 30 August 2023 for us to check via this Dropbox link here:

You will receive an email from Dropbox (no-reply@dropbox.com) confirming your files were uploaded.

Requirements for slides:

  • Please make sure your first name and last name is in the filename:
    eg: ANZTCT-2023-Firstname-Lastname.pptx
  • Append any versions (V1, V2, etc – the higher the number, the more recent it is) or date your files (YYMMDD) at the end.
    eg: ANZTCT-2023-​John-Smith-190​320.ppt
  • It is preferred that your files are 150MB or less if possible (or otherwise zipped)
  • Please package (compress/zip) any fonts, videos, notes, instructions and upload them with your name.​
  • Please load your preferred PDF version so we can send out to attendees (post-event) or email through an external link with your slides (eg: slideshare). Please let us know if you do not give permission for your slides to be made available post-event.

Examples of acceptable presentation formats: Microsoft PowerPoint (preferred); Apple Keynote; Adobe Acrobat PDF; Google Slides; Canva; Prezi.

If you have specific AV requirements, such as sound, internet connection, etc, please advise Slatterys before COB Wednesday 30 August 2023 so we have sufficient time to make sure we can organise this for you.

You are welcome to bring physical props, but please let us know what you will bring before the day if you need to place anything on attendee seats.

On the Day

All speaker presentations will be loaded onto the venue’s system and displayed on a screen behind the speaker which can be controlled using a wireless remote mouse (clicker) that is easy to use and fits in the palm of your hand. There will be a lectern on the stage. Speakers will be able to use the lectern microphone or a lapel microphone. You will have a 43-inch foldback screen in front of you at foot height that will display your speaker notes as well as your next slide.

All speakers are asked to keep to their allocated time to ensure the Meeting runs on time. There will be a timer on the lectern for you to use, and the Slatts team will give you a sign from the back of the room when you need to wrap up. Please note that Abstract speakers are asked to prep their presentations (either 10 min + 5 min Q&A OR 15 min & 5 min Q&A) and are reminded that they need disclosure statements on their slides.

Please return your lapel microphone and clicker to the AV desk at the end of your session.

Role of Chairs

Chairs have been allocated to sessions, and their role is to help sessions run smoothly, introduce all speakers and wrap up sessions in a timely manner. If there is time for Q&A, your session Chair will facilitate questions from the lectern.

The week before the ANZTCT ASM all Chairs will be sent a basic script to make their own.

Chairs will have a timer on the lectern they can use to help their session stay on time.

Chairs are requested not to kick off their allocated session until they are given the OK from a member of TeamSlatts to ensure AV is ready and doors are closed.

FAQs

Is there WiFi at the ASM?
Manly Pacific Hotel provides complimentary WiFi.
Can I get a copy of attendee contact information after the ASM?
We can provide stats on the number of attendees, job titles and organisations in collated form. For privacy reasons, we do not share specific delegate contact information.
Are the presentations filmed and can I get a copy of the video?
Yes, all the presentations will be filmed and made available post-event. We hope that these will be useful in sharing your involvement at the ANZTCT ASM.
Is there press coverage?
We will invite relevant media in the TCT space to attend and let you know if any media are present during the ASM. Please be aware that you will be recorded and photographed. After the event, a video of your presentation and all photos will be available online. If there is anyone (media or otherwise) you would like us to invite or suggest should attend, please let us know.
How many attendees will be at ANZTCT ASM? Who will be in the audience?
Registrations for the ANZTCT ASM are just about at maximum capacity! The ASM will welcome an audience of around 160 across the 3-days of the event. The audience will be composed of healthcare professionals involved in the clinical or laboratory management of patients undergoing bone marrow transplant and cellular therapies or with an interest in the field of bone marrow transplant and cellular therapies research – including physicians, trainees, nurses, care coordinators, quality managers, scientists, data managers, pharmacists, dietitians, physiotherapists, occupational therapists and psychologists who participate in TCT service delivery.

As a speaker, what should I wear?
The general dress code for ANZTCT ASM is smart casual. As a presenter, you are welcome to wear a t-shirt with your company’s branding – or whatever represents you best. Please remember to wear appropriate clothing that can hold a lapel (microphone set) if required for your session.
